How can I edit my Booking?

First click on ‘Make a booking’ in the navigation. Then you will need  to select which child you would like to make the edits for by clicking on the drop down ‘Select a pupil’.  This will load all the bookings for that child, you can cancel or change times for their WAC bookings. Once all the edits have been made simply click through the checkout process to confirm the updates.

I’m completely new to using Wrap Around Care, please help!

How do I log in?

If you previously had an account on the old WAC website that still had credits, simply reset your password here and use the same email address you had on the old WAC website. You will be asked to confirm your email address and set a new password for security reasons. Any credits you had on the old website will be carried across onto the new website.

If the website does not recognise your email address simply create a new account here

My credits have not been carried across into my account?

If you previously had an account on the old WAC website that still had credits, simply reset your password here and use the same email address you had on the old WAC website. You will be asked to confirm your email address and set a new password for security reasons. Any credits you had on the old website will be carried across onto the new website.

If you have done this and credits have not been carried across please email wac@wearefx.co.uk with the subject line credits and include your full name, children’s name, postcode and telephone number. You will be notified once the credits have be reassigned to your account.

I’ve logged in, I can’t book a Wrap Around Care session! What do I do next?

First time logging into the new WAC website? You will have to add your children to your account before you can make a booking. One you have logged in, please go to my account > Childs details and click on Add child. Then please fill in the form.

How do I book a Wrap Around Care Session?

To make a booking, please click on the ‘Make a booking’ button located in the navigation bar.

>The booking process is done one child at a time. So upon reaching the booking page, you will need to select a pupil. When you have selected a pupil, you will be able to choose a drop off time, a pick up time as well as selecting a club the child will be attending during wrap around care if applicable.

You will be given a breakdown of credits displayed on the right hand side, as well as the subtotal at the bottom.

Once you are happy with the dates and times chosen, please click the ‘Next’ button.

You will then be taken to a booking summary

This is your booking summary where you will be able to review your bookings. This is also where you can add bookings for each of your children. If you would like to book WAC for another child, please click ‘Add booking’ displayed under their name. This will take you to the bookings page where will be able to add time slots and clubs.

If you are happy with the booking, please click ‘Next’, you will then be taken to the confirm booking page.

This is the confirm booking page where you will find a breakdown of how many credits are in your account as well as how many credits are being used for each child and the subtotal.

After reviewing this information, please click ‘Complete Order’. Or if there is something wrong with the order, please click ‘Back’ to return to the booking summary where you will be able to re-review the order.

After completing the order, you will receive a confirmation message. You will also receive an email with your booking information.

How do I view my Account?

To view your account, please click on ‘My Account’ located in the navigation bar.Your account is split into 4 tabs. ‘My details’ which is where you will find your personal details.

‘Child’s details’ which will be the personal details of your child/children. Clicking on ‘View’, will open up their details.

‘My Bookings’ will provide you with information of your past bookings and upcoming bookings. Clicking on the ‘Upcoming Bookings’ arrow will open up all the bookings that are yet to occur. You can view by month and year by clicking on the drop down menu. Since these are bookings that are yet to take place, you will have the option to cancel the order. If you cancel an upcoming booking, we will refund you with credits.

‘Past bookings’ will look exactly the same. Like ‘Upcoming Bookings’ you can scroll through the dates and times selected for each child, as well as being able to scroll through the children’s names.

‘My Credits’ will tell you how many credits you have in your account. You will also see a statement of when you used your credits, how much you have leftover after making a booking and when you were refunded credits.

The ‘My Credits’ page is also where you can buy credits. Simply click on the ‘Buy Credits’ button at the bottom.

What are credits?

Credits allow you to make a WAC booking. Once you have purchased credits simply make a booking for the times that you would like to book your child in for Wrap Around Care and confirm your order.

Credits will be removed from your account based on the number of WAC bookings you have made. If your booking requires more credits than you have available in your account you will need to purchase more credits.

How many credits do I have?

Click on ‘My Account’ in the navigation. And click on the ‘My Credits’  tab. This will tell you how many credits you have in your account. You will also see a statement of when you used your credits, how much you have leftover after making a booking and when you were refunded credits.

The ‘My Credits’ page is also where you can buy credits. Simply click on the ‘Buy Credits’ button at the bottom.

How do I buy Credits?

Before making a booking for Wrap Around Care, we would suggest buying credits first. To do this, please click on the ‘Buy Credits’ button located in the navigation bar.

You will notice a small chart on the right hand side indicating how much credits are worth. If you’re new to Wrap Around Care, we’d recommend having a quick look at this.

When buying credits, you can enter the amount you would like to pay, or enter the number of credits you would like to purchase. Entering an amount for one will give you the total for the other.

If you are happy with the amount, you can then enter your payment details and click on ‘Complete Order’ button located at the bottom of the screen.

You are now ready to make a booking.

How much do credits cost?
You can buy credits in bulk at a discounted rate which have been outlined below:

Up to 50 credits = £5.00 per credit

51 to 100 credits = £4.70 per credit

101 plus credits = £4.30 per credit

How do I cancel a booking?

To cancel a booking, click on ‘My Account’ and click on the ‘My Bookings’ tab. Here you can see all the upcoming bookings for your children in a table format.

To cancel a booking simply scroll down the list to find the date you wish to cancel the booking for and click the cancel link under the relevant child’s name. You will immediately be refunded the credits, and you can make a new booking if you wish.

How do I edit a WAC booking?

Currently WAC bookings cannot be edited, however we will be rolling out this feature soon. In the meantime you can cancel bookings and your credits will be refunded.

To cancel a booking, click on ‘My Account’ and click on the ‘My Bookings’ tab. Here you can see all the upcoming bookings for your children in a table format.

To cancel a booking simply scroll down the list to find the date you wish to cancel the booking for and click the cancel link under the relevant child’s name. You will immediately be refunded the credits, and you can make a new booking if you wish.

How do I pay with Childcare vouchers?

At checkout you have the option to pay with credit card or childcare vouchers (CCV). To pay with childcare vouchers simply select ‘Childcare Vouchers option’, a drop down will appear where you will need to select your CCV provider. If your CCV provider is not in the list you will need to type the name into the box provided.

When you purchase credits via childcare vouchers you need to contact your childcare provider to release the funds to Berkhamsted, once you have done this you will need to allow 14 days for the transaction to take place. Credits will only be released into your account once the childcare provider has paid Berkhamsted. If you are unsure please contact your childcare voucher provider to make sure they have released the funds to Berkhamsted.

I have purchased credits, but in my account it says my credits are pending?

If the account is showing your credits are pending this means you have purchased credits via childcare vouchers. When you purchase credits via childcare vouchers you need to contact your childcare provider to release the funds to Berkhamsted, once you have done this you will need to allow 14 days for the transaction to take place. Credits will only be released into your account once the childcare provider has paid Berkhamsted. If you are unsure please contact your childcare voucher provider to make sure they have released the funds to Berkhamsted.

I have purchased credits but I can’t make a booking?

If you have purchased credits via childcare vouchers there is a buffer period until the credits are allocated to your account. When you purchase credits via childcare vouchers you need to contact your childcare provider to release the funds to Berkhamsted, once you have done this you will need to allow 14 days for the transaction to take place. Credits will only be released into your account once the childcare provider has paid Berkhamsted. If you are unsure please contact your childcare voucher provider to make sure they have released the funds to Berkhamsted.

How can I edit my personal details & or my children’s details in my account?

Currently you cannot edit your information or child’s information after you have set up your account. We will be rolling out this feature very soon. In the meantime, if your information needs updating please email wac@wearefx.co.uk with the changes you would like made to your details, please make sure you are sending the email from the same email address your WAC account is registered with for verification purposes.

How do I add my child’s details to my account
One you have logged in, please go to ‘My Account’ > Child’s details and click on Add child. Then please fill in the form.
